Schedule Information: Monday - Friday 8:30am - 5:00pm
Hours per Week: 37.5 hours

Duties of Position: Responsible for providing highly responsible, confidential and complex administrative assistance and secretarial services to the Chief Information Officer of the Information Technology Division in carrying out the responsibilities of that position.
Responsible for the organization and management of the office work flow.
Provides information when appropriate and composes independent replies to correspondence. Prepares and sorts incoming mail for the Chief Information Officer and designates by importance items requiring the Chief Information Officer’s immediate attention or signature.
Assembles budget information and assists in the preparation of the office budgets. Monitors the office budget during the fiscal year. Reviews cost center expenditures on a monthly basis for conformance to established budget for the cost centers.
Tracks all major computer hardware and software purchase requests and payments for the College. Prepares purchase requisitions as needed. Resolves invoice discrepancies with vendors.
Maintains confidentiality at all times.
Prepares and types correspondence, memos, and reports.
Prepares presentations including PowerPoint presentations used by the Chief Information Officer.
Greets visitors, answers telephones and screens calls, arranges appointments, sets up meetings and maintains the Chief Information Officer's calendar.
Gathers and compiles information for special reports and projects and assists in their completion. Develops and maintains the office filing and records system.
Coordinates all Board Exhibits and Personnel Requests for the Information Technology Division.
Schedules Information Technology Division meeting, Harper IT Learning Forum meetings and Division presentations.
Maintains the office inventory and orders supplies.
Performs related duties as assigned.
Educational Requirements: Bachelor’s degree strongly preferred. Associate’s degree with specialized training in secretarial and office practices and procedures required. Advanced computer skills training. Web/Internet experience desired. Office Administrator Certificate desirable.
Experience Requirements: Five years of progressively responsible executive assistant /office experience with demonstrated administrative skills. Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, and Access applications.
