Schedule Information: Monday - Friday;  Various evening and weekend work is required based on events and facility rentals.

Hours per Week: 37.5

Duties of Position: Assists Event Planners and Supervisor with creating and coordinating a successful experience for internal and external clients of the Wojcik Conference Center. Utilizes strong communication and organizational skills throughout the event planning process. Acute attention to detail with the proficiency to problem-solve and adapt to changes on the fly. Demonstrates outstanding customer service to meet quality event expectations.

Assists with the planning and coordinating of meeting and event details for internal and external clients.

Fields rental inquiries and information requests and provides clients with necessary information. Provides professional and engaging onsite tours for potential clients.

Under supervisor guidance, serves as client’s primary contact for contract preparation, catering, room setup, and AV needs.

Interprets client needs, anticipates potential problems, and determines the best solution for having a successful event.

Creates a quality standard of catering through suggestions and discussions that best serve the client and Dining services.

Provides visible on-site coverage to ensure client satisfaction and resolve any catering or other issues in a professional matter.

Works with the Wojcik Conference Center Supervisor to maintain and strengthen client relations through exceptional written and verbal communication and record keeping.

Assists the Wojcik Conference Center Supervisor with data entry in database/CRM, client correspondence, and sales material. 

Serves as the liaison for department amenity orders for events such as linen and floral requests.

Assists with processing all final event invoices and follow-up for event feedback. Works together with WCC Event Coordinator to ensure end of month invoicing data is correct for all external events.

Coordinates with WCC Event Coordinator to safeguard against scheduling conflicts for events.

Assists with support for all events of the Conference Center.

Assists with training for Conference Center student aides. This includes but is not limited to verbal and written communication and correspondence as well as data entry.

Identifies and reports any building maintenance issues discovered while supporting an event.

Participates in campus activities and/or meetings that are open to all employees.

Encouraged to sit on different committees or working groups of the College.

Performs other duties as assigned

Educational Requirements: Associate’s degree or event planning/management certification required. Bachelor’s degree preferred. Basset certificate and Village of Palatine Servers Permit needed within 6 months of start date

Experience Requirements: Two years’ experience in event planning/coordinating, or equivalent, preferred. Must be highly organized, detail oriented and customer service driven. Must have working knowledge of Microsoft 365, CRM experience, and demonstrate the ability to learn new/updated software programs. Basic knowledge and understanding of audio-visual equipment
