Schedule Information: Monday through Friday 8:00 a.m. - 4:30 p.m.

Work Conditions: Work is primarily indoor and sedentary in nature.
Duties of Position: Provides administrative and general support for scheduling and monitoring the various grant activities and other programs and services offered by the Women’s Program.
Processes intake statistics received from Program Specialists. Manages systems including data input, organizing and tallying statistical data and preparing reports using Access. Prepares and updates participant files per funding source. Processes registration materials and tuition authorizations following grant guidelines.
Greets participants and visitors; answers telephone and screens and channels calls. Provides information about programs, services and general college information. Handles initial concerns and makes referrals to appropriate resources as needed. Works directly with students to assist in use of student online tools and resources. (Student Information System, payment plan, Harper website navigation.)
Using current software, schedules appointments for staff and arranges meetings as needed.
Calculates and prepares for signature, contracts, agreements, other expenditure materials, and check requisitions such as for child care, transportation and other support fees incurred by participants. Prepares book vouchers for books and supplies for participants.
Coordinates posting of tuition payment authorization with the Office of Financial Aid. Monitors registration deadlines (i.e., drop for non-payment) and proactively balances work load accordingly.
Monitors and maintains expenditure and revenue records for College and grant accounts, budget and corresponding documentation; and assists Director with department account/budget, purchasing and personnel actions in Oracle. Keeps track of spending for all financial resources ancillary materials and processes check requisitions.
Assists with editing copy for brochure, newspaper printout and news releases. Follows up with Marketing Services to insure deadlines are met.
Organizes and maintains department computerized and hard copy files, lists and records including, participant files and mailing lists.
Orders special services for workshops or events such as AV equipment room set-ups, move orders and food service. Coordinates with various campus offices for sharing of appropriate information.
Maintains inventory of marketing/publicity and office supplies. Orders supplies as needed.
Trains and supervises office student aides as necessary, and provides direction to other department office staff.
Performs related duties as assigned.
Educational Requirements: Associate Degree with basic computer skills training.
Experience Requirements: Four years responsible administrative experience with word processing, Excel and Access proficiency. Proof reading skills and bookkeeping/accounting experience very helpful.
