Duties of Position: Responsible for performing clerical and support duties for the Continuing Professional Education (CPE) department, in the Career and Technical Programs Division Office, primarily with scheduling classes and providing support with communications.

Initiates semester schedule Continuing Professional Education course offerings in coordination with the Manager and Coordinators; collects and compiles data, coordinates room scheduling as needed, and enters semester data electronically into Banner System. Checks that all courses have correct instructional time and follows College start and end timelines. Runs Cognos reports for the department.

 

Enters faculty workload into Banner. Maintains a log of changes to faculty assignments and communicates changes to Payroll and other departments.

 

Monitors course enrollments for the division and runs class rosters.  Assists the Manager and Coordinators with course withdrawals. Completes cancellations, refunds, and room change notices and posts on room. Oversees phone calls to students to notify them of cancellation and alternate courses.

 

Works with Manager and Coordinators to prepare curriculum revisions by using the CurricuNet database system. Updates course outlines and textbook changes annually. Works with Manager in the development of any new program curriculum

 

Maintains database of industry credential exam results to provide annual reporting of outcomes to Coordinators, Manager, Deans and Apprenticeship office.

 

Submits online room reservations using R25 reservation system. Maintains/monitors classroom utilization information

 

Processes work orders and print shop requests as needed. Inputs online maintenance requests.

 

Provides secretarial and communications support for various programs within the department. 

 

Maintains various department and program computerized and hard copy files. Maintains files with Curriculum, certificates and course outlines per College guidelines

 

Performs related duties as assigned.

Educational Requirements: High School graduate, or equivalent required along with specialized training in computer skills and secretarial office practices/procedures.  Associate degree preferred.

Experience Requirements: Four years of progressively responsible secretarial and office experience, advanced computer knowledge, and demonstrated administrative skills. Working knowledge of Microsoft Office, and familiarity with database software
