Provides admission and program support to limited enrollment Admission Associates and Health Careers Division, particularly in matters relating to enrollment. Provides program information and office services to prospective, new and returning students. Handles telephone and walk-in traffic for division, answers general questions and refers only as appropriate.
Coordinates with Health Careers Admissions Associates to create processes for limited enrollment eligibility standards, by program. Uses the BANNER student system, NLN data, and other files to confirm applications and related documentation is complete and suitable for receipt into the applicant pool.
Maintains and is able to accurately communicate current program, resource and enrollment information on all Health Careers programs. Responds to questions and concerns and resolves problems for students via phone, email and in person using outstanding customer service skills. Works closely with other departments to assist students and ensure a positive experience. Maintains confidentiality of all student records and uses discretion when providing private discussion when necessary.
Assists Health Careers Admissions Associates in meeting with all limited enrollment applicants prior to the deadline, making appointments as necessary. Prepares limited enrollment applicant files, determines whether third party documentation is required, and obtains necessary registry information, student credentials, and other information, as appropriate.
Responsible for maintaining accuracy of limited enrollment admissions database, by investigating returned limited enrollment mail and other discrepancies. Assists students by providing information about the residency update process, referring them to the One Stop as appropriate.
In accordance with other department processes, scans each individual piece of limited enrollment file information to appropriate BANNER screens, and applies document codes to effectively organize and store historical applicant data.
Responsible for making web content updates to admission requirements, applications, messaging, deadlines, links, etc. for all limited enrollment programs. Coordinates major revisions with Web Content Manager and Admissions Associates.
Assists with division efforts to stimulate enrollment by planning, organizing, and executing various promotion activities under the direction of the Dean, Operations Manager or Admissions Associates.
Maintains the confidentiality of office operations information.
Assists program coordinators with program information session and student orientation planning, correspondence and materials.
Works towards electronic maintenance of division student files.
Provides project assistance.
Performs related duties as assigned.
Educational Requirements: Associates Degree with specialized training in office practices and procedures preferred.
Experience Requirements: Minimum 1 year office experience. Working knowledge of Microsoft Office Suite required. Knowledge of BANNER system helpful. Community college experience preferred.
