Work Conditions: Work is primarily indoor and sedentary in nature.

Duties of Position:  Performs complex, time sensitive and confidential administrative and clerical support to Chief Advancement Officer / Vice President, Foundation Board of Directors and Foundation staff. Performs clerical, standard and advanced office operational tasks; ensures smooth running of the office, works independently, and coordinates various communications and activities among the Administrator, Department and Foundation staff, Board of Directors and the public. Acts as the designate for the Chief Advancement Officer / Vice President with operations and organization of the College’s fundraising, government grants and alumni association programs.Plans, organizes and manages the workflow for the office and the Chief Advancement Officer/Vice President in a professional manner. 

Maintains the Chief Advancement Officer’s calendar and helps prepare for meetings in a complete and professional manner by creating and maintaining calendars, briefing reports, involving other individuals, as appropriate, and making appropriate arrangements.

Independently represents the Chief Advancement Officer to internal constituencies through the interpretation of policies, procedures and other matters.

Independently represents the Chief Advancement Officer to external audiences by helping manage relationships with donors, Board Members and other external constituencies.

Prepares agenda packets and takes minutes for the Development/Educational Foundation and committee meetings.  Distributes minutes to committee members and maintains appropriate records.  Responsible for all logistical aspects of the Foundation Board meetings.

Helps create and ensure accuracy in the preparation of written materials, including Power Point presentations, proposals, charts, proposals and correspondence in support of the Chief Advancement Officer.

Exercises professional judgment to interpret and communicate policies and procedures for the Chief Advancement Officer.

Investigates, organizes, interprets and prepares appropriate written responses (via email and printed letters) for matters received in the office of the Chief Advancement Officer.

Provides support for the Foundation’s scholarship, Finance, and grants by working with appropriate staff, College departments and outside audiences.

Maintains the Educational Foundation Board of Directors files, schedules, meeting agendas, minutes and pacesetter financial tracking.

Maintains the confidentiality of the Foundation Office and represents the Chief Advancement Officer in a professional manner.

Compiles information and prepares various reports including College and Foundation gifts, donation reports, and government grant reports and alumni activity.

Processes and accurately maintains department personnel files, donor records and other records in a confidential and professional manner.

Maintains and records inventory of supplies. Works with donor database, Raiser’s Edge, as needed.

Performs other related duties as assigned.

Educational Requirements:  Associates degree or equivalent experience and specialized training in office skills.  Advanced computer skills training.

Experience Requirements:  Five (5) years of progressively responsible experience and demonstrated executive skills.  Outgoing personality and exemplary professional skills are essential.  Expertise with word processing, Powerpoint, Excel and constituency databases, preferably Raiser’s Edge, required.
