Working Conditions/Physical Requirements: Work is primarily indoor and sedentary in nature. May occasionally be required to assist with transporting boxes of materials using appropriate equipment. Position requires one to two evenings per week and some potential weekend hours.

Duties of Position: Responsible for managing the daily operations of the Admissions Outreach department including assisting the Director with the development and execution of student recruitment initiatives. Supervise and manage the department in the Director’s absence.

Manage all prospective student communication channels including email, phone, live chat and texting. Provide detailed reports reconciling outcomes.

Works closely with Marketing Services on the development and implementation of departmental marketing collateral including brochures, direct mail, email, signage and web pages.

Responsible for the hiring, training and management of Admissions Outreach Front Desk student aide staff.

Meet one on one with prospective students as assigned. Assist with late night and coverage issues as needed.

Maintains a close relationship with the Admissions Outreach team and provides ongoing training and assistance to help maintain consistency and best practices within the department.

Assists the Director in the hiring, training and development of new Admissions Specialists.

Responsible for documenting and tracking of all Admissions Outreach Ellucian Banner related departmental processes and procedures. Also responsible for tracking and monitoring data quality and accuracy within the team through detailed daily and weekly reporting.

Manages Admissions Outreach online scheduling process including development of the weekly schedule and assignment of leads to Admissions Specialists.

Develops and maintains prospective student lead assignments and departmental daily work and vacation schedules.

Manages Axiom student prospect lead qualification process and assigns to appropriate Admissions Specialists. Includes documentation of all procedures and acts as IT liaison for Axiom related updates and modifications.

Manages the development and maintenance of all departmental student inquiry and event forms through the Formstack form builder product.

Develops and manages monthly schedule of on ground and on line student prospect information meetings including RSVP lists, event reminders through, room assignments and staff support.

Coordinates Admissions Outreach Get Started campaign and collaborate with the Office of Student Financial Assistance to insure accuracy of the program. Manage to annual scholarship budget allocations as provided.

Assists with the planning and coordination of all Admissions Outreach student on campus recruiting events including the high school open houses, counselor days, preview days, fast track, healthcare and adult information sessions. Responsibilities include venue selection, contract negotiations, vendor relations and onsite logistics.

Coordinates Campus tour program for prospective high school students and families.

Develops and executes annual dual credit student communication plan. Provide bi-weekly updates for the Director and Assistant Provost.

Completes special projects as needed.

Serves on appropriate College committees.

Supervises the Admissions Outreach office in the absence of the Director.

Performs related duties as assigned.

Education: Bachelor’s degree in marketing, communication or related field.

Experience: At least 5 years of experience in operations management, sales or business development preferably within the education market.  Must possess strong oral, written and interpersonal communication skills.  Knowledge of community colleges is preferred. Basic knowledge of Microsoft Office Suite and Data base knowledge a plus.
